Determine outstanding voucher balance

For the year-end financial closing, you typically need to identify all redeemable vouchers that were still open retroactively as of the end of the fiscal year. These can be determined using the cut-off date report. First, read the general explanation of the cut-off date report, then proceed as follows:

  1. Log in as admin: Depending on your system setup, your user account may have limited access. For this action, you must be able to view all system data and therefore need to be logged in with an admin account.
  2. Navigate to Journal invalidated in the menu.
  3. Set the sales period via the selection key date sales button: Leave the "from" date ("Start datum") as is (typically the date of the first sale), and set the "to" date ("End Datum") to the end of your fiscal year, e.g. January 31, 2022. This ensures that any sales and redemptions after that date are excluded.
  4. Set the redemption period via the Selection key date redemption button: Leave the "from" date ("Start datum") unchanged and set the "to" date ("End Datum") to the end of the fiscal year, e.g. January 31, 2022. This ensures that redemptions after that date are not counted as redeemed.
  5. Filter by item type: If your statistics include non-redeemable item types (e.g. physical products), you can exclude them using the filter. To display vouchers only, select “All vouchers”.

Example: Fiscal year from February 1, 2021 to January 31, 2022
