HNS: Voucher redemption during booking

The following content was translated using AI and reviewed by our team. Please note that some images are still being updated.

Your guests can redeem vouchers directly during the booking process on HotelNetSolutions (HNS). The voucher is validated via incert and automatically redeemed in the background.

If you're interested in this interface, we’d be happy to hear from you at sales@incert.at. The interface must also be commissioned through HNS.

Process

  1. In the HNS booking engine, there are several ways to enter the voucher code:
    1. In the navigation bar field labeled “Booking code”
    2. In the dialog field within the header image labeled “Have a booking code?”
    3. As a parameter appended to the URL
  2. After entering the code, HNS displays the discount as “Discount on total price” along with its validity. The discount is shown throughout the booking process and again on the final confirmation page.
  3. By clicking “Yes, book with payment obligation,” the voucher is redeemed via HNS in incert.
  4. The booking is transmitted from HNS to the PMS.

Please note that incert only has insight into the communication and processes between incert and HNS. Any further processing by HNS or transfer to other third-party systems (particularly the PMS) is outside our scope. We recommend checking with HNS how and with what data the voucher redemption is displayed in your PMS after booking.

  5. The guest receives a booking confirmation from HNS. Depending on the configuration, the voucher code may be displayed. Guests can also save a PDF copy of the booking under “Print booking,” where the voucher code will also be shown.

Please note that we cannot provide support for actions performed in third-party systems. This description has been prepared to the best of our knowledge. In case of doubt or further questions, please contact the system provider directly.

Important Notes

  • Only one voucher can be redeemed per booking.
  • No mapping to services or items is performed.
  • HNS supports the redemption of incert vouchers of the “value voucher” type only. If other article types (e.g. package vouchers or imported vouchers) are used in incert as multi-purpose value vouchers, they can be universally passed to HNS as value vouchers.
  • Partial redemptions are possible. The remaining balance stays on the voucher and can be used in future redemptions.
  • Vouchers with no value (e.g. sponsorship vouchers) cannot be redeemed.
  • Imported legacy vouchers can be redeemed—unless blocked by incert (e.g. due to simple or sequential codes or incompatibility with value voucher handling).
  • The redemption of expired or unpaid vouchers can be controlled via incert settings.
  • Guests can cancel their bookings via HNS using their email address and booking number. If the rate was refundable, the voucher redemption is automatically reversed via the interface.
  • In portal systems, different terminal IDs can be configured for each location. This allows redemptions from the booking engine to be statistically assigned to the correct hotel within a shared incert system.
  • The forwarding of the booking and voucher redemption to other third-party systems (especially PMS) is outside incert’s scope.
