Orders are retrieved by ASA’s PMS at regular intervals and are then recorded within ASA. During redemption, ASA queries the live status of the voucher via incert and can redeem it partially or fully. This means there is no need to access incert directly for redemption. incert remains the leading system for data and can also be connected to additional redemption interfaces.

Process & Example
- The voucher is sold via incert.
- The voucher is retrieved by ASA and recorded in the system – Example:
- The voucher is redeemed in ASA. The “Code” field shows matching vouchers during entry. If the voucher has not been previously retrieved by ASA (e.g. a voucher from an external system connected via incert), the full code must be entered manually.
- ASA verifies the voucher with incert and redeems it there. In incert, the related reservation including booking number, period, and guest name is visible:
For gift cards, the code cannot be retrieved beforehand, as the order is only linked to a specific card (and its code) afterward. There may also be external vouchers that are redeemable via incert but not sold through it. In these cases, the code cannot be pre-fetched by ASA.

Important Notes
- ASA uses item type mapping. Therefore, the item types used in incert (e.g. value vouchers, package vouchers, gift cards) must be communicated to ASA in advance.
- Partial redemptions are possible. The remaining balance stays on the incert voucher and can be used for future redemptions.
- Redemptions can be reversed in ASA and will also be rebooked in incert. This can be done using the “Cancel” button in the voucher section of the reservation, or in the “Voucher Systems” section in ASA.
- In portal systems, ASA redemptions can be statistically assigned to the correct hotel in incert. This is essential for accurate partner settlements in incert.
- For gift cards (where the code is not known at the time of sale) and external vouchers redeemable via incert, a special configuration in ASA is required to allow redemption of codes that were not pre-retrieved.
- For "legacy vouchers" (prior to incert), several scenarios are possible: - If these were imported into ASA from the previously used system, ASA Support may be able to reassign them as "incert vouchers". - The voucher is also imported into incert, and upon redemption, ASA will check with incert (instead of the old system) for the current status. - Alternatively, these vouchers can be marked as "manual" in ASA to prevent external system checks and allow direct redemption. This approach is only recommended if no other systems (POS, booking engine) are connected to incert that also need to redeem these vouchers.
