MEWS: redemption posting into PMS

Vouchers are redeemed in incert, and during the redemption process, the receptionist selects which guest the redemption will be booked to in MEWS. Alternatively, the voucher redemption can also be booked as an "unpaid item" on the guest's account if no invoice exists for that guest. For the redemption process, the receptionist will still work in incert, but there will be a direct transfer to MEWS.

Process

  1. In incert, a selection field will be displayed on the redemption screen where the guest's last name can be searched.
  2. When entering the name, the system will show bookings under that name, allowing you to select the desired guest and invoice. Alternatively, for an existing customer, "Book without invoice" can be selected to transfer the redemption to the "Unpaid Items" section.
  3. If the voucher is redeemed on an existing invoice, incert will display the invoice amount. If the voucher amount exceeds this, a partial redemption of the voucher can also be made and sent to MEWS.
  4. The voucher is redeemed in incert.
  5. The redemption is sent from incert to MEWS as a credit/invoice deduction on the guest's invoice.

Example

In the example, you can see how a voucher is redeemed in incert. On the incert interface, "bach" is searched, showing guests with the last name "bach". Afterward, the desired guest is selected, and then the invoice could be chosen (not possible in the test). With "Partial redemption" or "Full voucher redemption," the redemption is performed in incert and recorded on the selected invoice.

Important Notes

  • The voucher is deducted as a payment method. No mapping is done to services, items, or tax rates.
  • Voucher transactions are processed as an external payment type "unspecified" in MEWS and can be mapped to a different payment method in the accounting configuration. Alternatively, Incert can pass a payment type. MEWS provides the following types:

  • Partial redemptions are possible. The remaining balance stays on the incert voucher and can be used for future redemptions.
  • Vouchers with no value (if sponsorship is recorded with no value) cannot be redeemed.
