Creation of voucher templates

In the incert voucher system, A4 images of the finished voucher are uploaded. The so-called "template" serves as the background of the voucher, on which certain dynamic prints are then added by the system – such as personalization, barcodes, or expiration dates. These dynamic prints are, of course, not part of the template.

During project implementation, you will discuss the templates with your advisor. However, even in a live system, new templates can be created. The following explanations serve as a guide for your graphic design agency.

Process

  1. Create a first draft and submit it to incert.
  2. Wait for feedback from incert on whether adjustments are necessary. Ideally, you should also provide a version with example print content (example dedication text, etc.).
  3. Create additional variations (other designs with different images but the same print positions, allowing the customer to choose a design).
  4. The final templates are submitted to incert or uploaded to the system directly.

Structure 

The placement of individual elements is entirely flexible. The template below serves only as an example of how a voucher can be structured and which elements may be printed. Additional examples of voucher templates are shown further below.

Dynamic Prints

The following prints are applied to the template by the system:

  1. Voucher value on value vouchers as a number and, if desired, also as text.
  2. Voucher code as a barcode (min. 4.5x1.5 cm required) or as a QR code. The code can be printed with a white or transparent background.
  3. Personalization: Sufficient space for a dedication text and one or more areas for image personalization. Details on personalization are provided below.
  4. Order number, issue date, and optionally the expiration date (The system will print both the text and value – e.g., "Valid until: 01.01.2025." Therefore, the text "Valid until:" should not be fixed on the template).
  5. Voucher value for package vouchers (if desired – especially important for multi-purpose vouchers with service recommendations).
  6. For package vouchers, the voucher title.
  7. For package vouchers, the description of services.
  8. For package vouchers, any selected options such as room type or additional services.

The print is applied horizontally.

The following content should be directly included in the JPG template.

Personalization

The customer can personalize the voucher. This is an important tool for increasing the conversion rate, as personalized vouchers make for more personal gifts and are more likely to be purchased.

  • Dedication text: The customer can write a personalized message.
  • Custom images: The customer can upload their own images (one or more), which will be printed in predefined areas on the voucher. These images will replace the background (template) in these areas. Image areas must be rectangular and horizontal. Ideally, another image is in the background, which the customer can replace with their own (since not all customers will upload their own photo).
  • Video greeting: If desired, customers can place a QR code on the voucher that links to a video. The system will print text below the QR code (e.g., "Video greeting..."). This text will only appear if a video greeting is selected. The QR code should be placed in an area not too close to the voucher code to avoid confusion.

Tip: Make use of the personalization options. It’s a way for customers to enhance their gift and make it more personal. Even if the buyer’s own image doesn’t match the company’s corporate design, it’s an important measure to increase conversion rates!

Fonts

The following standard fonts can be used for system-generated prints. Unfortunately, custom fonts cannot be used for dynamic prints from the system.

When printing, no alignment as "justified" and no small capitals are possible. If a text is a fixed part of the template (e.g., the word "Voucher" which is part of the image file and not printed by the incert system), you can, of course, use a different font for this text.

Specifications and Submission

The following specifications must be strictly followed:

Format A4 - portrait or landscape format (uniform for all vouchers)
Dimensions 2480 x 3508px or 3508 x 2480px
Resolution 300 dpi
Color Mode RGB
File Format JPEG image file
Size Ideally 1 MB, maximum 1.5 MB

Submit the templates without dynamic text (as explained above), or upload them directly into the system. We also need a template with example print content, so we know where/how the dynamic prints should be placed.

Tips

  • For an image area meant for personalization, place another suitable image in that spot. This gives the customer the option to replace the image or leave it as is.
  • Submit an initial draft of the template to incert right at the start to minimize the need for corrections later.
  • Design occasion-specific templates, e.g., for Christmas, Easter, birthdays, etc.
  • For package vouchers, create 1-2 thematically fitting templates and 2-3 general, occasion-related templates.
  • If there are many templates for value vouchers, consider grouping them into categories.
  • The same templates can be used for both value and package vouchers, but enough space must be provided for the service description and additional services.

Common Mistakes

  • Insufficient resolution for printing (300 dpi required).
  • Incorrect color mode (e.g., CMYK instead of RGB).
  • Wrong file format (e.g., PDF instead of JPEG).
  • Files too large (max. 1.5 MB per file).
  • Unusable fonts (only the above-listed standard fonts can be used for dynamic prints. Texts fixed on the template, such as the word "Voucher," can be set using a custom font on the template).
  • Mixed portrait and landscape formats (you can choose, but it must be uniform for all items in the system).
