Redeem vouchers

Quick Overview

Redeeming vouchers is remarkably simple. In the example, you can see two partial redemptions of €1 each, followed by a full redemption of the remaining balance. Subsequently, all three redemptions are canceled in the example:

Below is a more detailed description of the interface and optional additional features that can streamline your operational processes.

Redemption Options

You can access a voucher to check its current status and value and redeem it partially or fully:

  • Menu "Redeem Code": You can access a voucher by entering or scanning the voucher code in the "Redeem Code" menu. Depending on your user's access rights, you can also access vouchers by entering the order number.
  • Widget "Redeem Code": For quick access, you can add the "Redeem Code" widget to your dashboard.
  • App "incert Mobile": Our app is available for free for iOS and Android. Use your existing web login (the first login with a new user must be done via a web browser to reset the password). With your smartphone's camera, you also have a barcode scanner at your disposal, eliminating the need to manually enter codes.
  • Interfaces: Connections to many POS and PMS systems allow vouchers to be checked and redeemed without logging in to incert. You can find our interface partners at https://www.incert.at/schnittstellen-partner

Partial and Full Redemption

For a partial redemption, enter the desired amount, and the voucher will be partially redeemed. The remaining balance stays on the voucher for further use. As a customer service, the updated voucher can be printed or sent to the customer.

  1. Here you can see the current redeemable value.
  2. Here you can enter a partial amount of the remaining value for a partial redemption and confirm it by clicking "Partially Redeem." For a partial redemption, the system suggests in a pop-up to print or email the remaining value to the customer.
  3. By clicking "Fully Redeem Voucher," the entire remaining value will be redeemed, and the voucher will be marked as "Fully Redeemed."

Optionally, you can add a booking number or comment.

Cancel Redemption

Previous redemptions are displayed in the lower section of the redemption interface. Here, redemptions can also be canceled. The value is reversed for the relevant period and is available again on the voucher without distorting statistics retrospectively. The right to cancel redemptions is often reserved for specific admin users. Statistically, it is not relevant which user cancels the redemption; the cancellation is attributed to the user who initially redeemed it.

Quick Redemption

The quick redemption feature allows vouchers to be fully redeemed immediately without accessing the detailed redemption interface. This is particularly useful for pre-printed vouchers with fixed values, often redeemed fully and in large quantities (e.g., €10 printed vouchers).

Feature "Remaining Value Template"

A special template can be set up in the system, which appears for partial redemptions of (defined) vouchers. For example, the remaining value from redeeming a voucher package can be printed on a prepared "Remaining Value" template.

Feature "Redeem for Another User"

In portals, it might be beneficial for a central entity to redeem a voucher for a partner, ensuring the redemption is attributed to the partner in the billing. This feature includes a dropdown field for selecting the redeemer.

Feature "Redeem for Previous Day/Month"

On request, a feature can be activated to allow redemption for the previous day or the last day of the previous month. This is useful for events that occur late in the evening, where redemptions made after midnight should statistically count toward the previous day.
